Lead your team to
success |
| Getting to a successful outcome doesn't
just happen. Several steps need to be done and it is the project leads
responsibility to ensure they do get done. |
The TCO System helps with each of
the steps ensuring the team leader(s) have all the information they
need to get the project to a successful conclusion.
With the TCO System it is possible to:
- Define the result(s) wanted. (vision)
- Develop a detailed plan of action. Identify
the steps and activities required to achieve the objectives.
- Compile a list of participants and assign responsibilitity.
- Rough out your schedule of activities. Work
out a sequence of what is to be done when.
- Track the progress of each step and activity.
Each participant can contribute to a diary of progress, share information
and solicit help from co-workers to ensure the quality and completion
of each activity.
- Verify and sign off on each activity ensuring
the agreed success factors. This ensures the quality for each step
in the process of completion.
- Follow through and follow up on action to get
the job(s) done. Easily request and obtain updates from each team
member.
- Use the easy tools for administration of meetings
and provide status reports on progress to management.
- Delivery, acceptance and sign off are easily
controled clearly indicated in the TCO System so there is no misunderstanding
about what is finished and what is not.
- At the end of each project there is a complete
history retained for future reference. Lessons learned can be researched
and recalled and used on similar projects in the future.

Cut
unnecessary overhead and save money |
| Reduce operating overhead.
With the TCO System, certain aspects of your overhead can be drastically
reduced. The TCO System delivers one comprehensive repository of information
retained in a single system. This provides a single point of reference
where information supporting a project or program is kept and all team
members refer to the same reference material. Considerable time across
the whole team is saved by avoiding the need to search in files and
directories stored on shared or personal drives and easily subject to
deletion or movement.
Licensing costs are for what you use. No hidden
back door costs or add on fees. The TCO System is built on very robust,
popular and powerful open source software and databases which eliminates
costly licensing fees.
Twice per year a release of upgrades and changes
are installed on your system as part of our licensing agreement. If
you want specific changes or added features, participate in a TCOS user
group with like minded customers and get the changes you think are important
and only the things your group want to pay for. By joining a TCO Systems
user group you tell us what you want in the next and future releases.
You recommend the priorities so we stay on track and deliver what the
customer wants.

Organize
your team(s) for efficiency |
| When setting up your TCO System instance a snap shot
of your organization is taken and represented within the TCO System. Team
members know where they are working, who they are working with and what
they are doing. It is easy for team members to communicate amongst themselves
and with the management team. Team members can see the overall scope of
the project or program and can share their ideas, thoughts and knowledge
without waiting for a scheduled meeting or disrupting the work process
already underway. |

Communicate
quickly and effectively |
Team members can communicate with each other using
the internal email feature. This feature allows the sender to say what
has to be said and automatically provides a quick reference to the source
documents including attachments relevant to the subject. This feature
enables the recipient to quickly access the necessary background and
add relevant new information and quickly respond to the originator.
This feature alone will save each team member hours of work while increasing
the accuracy of information being referenced by team members.
The TCO System's central repository allows team
members to be informed of work in progress and to access historical
information quickly. No need to search for documents in shared folders
or hard copy files.
With information available to team members from
a single source everyone on the team references the same versions of
source documents. This greatly reduces the risk of error as well as
redundant effort on work already completed by other team members.

Integrate |
The TCO System enables the manager to include
their clients, suppliers and all team members in developing high quality
solutions.
Managers can allow a little access or a lot of access
depending on the role the individual representatives will play on any
or all assignments. Inclusive participation can produce fully acceptable
solutions by allowing client management to satisfy their concerns earlier
in the development process and prevent costly delays or recycling after
milestones have been delivered.
Managers can integrate
all of their assignments and resources into a single management
system. This allows the manager to control the utilization of resources
across all their projects and to easily identify where issues are before
they become critical. The separation between projects, programs or cases
is well defined by the system but allows the manager to oversee and
run all of these from a single common set of menus.
Individual team members are also able to manage
their work on several assignments with different teams working in different
branches from the same single set of menus. The TCO System allows them
to oversee all of their responsibilities as well as to navigate back
and forth between jobs maintaining a clear and distinct line of separation
between each project, program or case.
This feature saves time and effort and allows the team members to provide
more energy and quality to the work they are doing.
When required and depending on the organization
of allocated work, the manager can easily and quickly transfer an assignment
from one work group to another thereby saving considerable ovehead and
enabling the new group to quickly grasp the requirement and history
and allow them to pick up the ball and complete the process without
lengthy delay.
The efficiencies built into the TCO System give
the manager control over their assignments and their successful completion.

Manage
your teams and meet your objectives on time within budget |
Managing your teams is easy with the TCO System.
Resource utilization reports combined with estimated and actual time
reporting allows the manager to see just how busy his resources are,
where they are being used and what the gaps are in order to assign new
responsibilities or to un-assign responsibilities from team members
that are carrying too much of the load. |

Do
More with Less |
The advantages that come with an install of the
TCO System make it easy for a manager to accomplish more with the same
or fewer resources. Work flows are smoother, communication channels
are faster, team members are focused on what they have to do and when.
The central repository of information makes it possible
to share information rather than duplicate effort getting the same information.
History is just a few clicks away to help plan future
activities.
Meetings are a breeze because everyone comes with
up to date information. Surprises are reduced along with delays due
to oversight.
Managers get the information they need from team
members quickly and in writing.
Standard status reporting makes that task so much
easier and faster. Executive can look over a project and ask the right
questions or give the right compliments. This gives managers and team
members the incentives they need to keep going, do more and do great
work.
Time is the greatest savings any manager can expect
when the TCO System is in place and operating.

Experiencing
tough times? Then tough it up and keep on going |
Very few people are insulated from the current
economic crisis. As the impact of what is going on rapidly spreads across
and down the various business sectors we have two choices:
a) Resign ourselves to what happens or
b) Resolve ourselves to survive.
Tough times call for extra effort and a change in
habit. If our existing ways of doing work are not producing the results
we need then perhaps we need to change. Perhaps our work habits need
to be tightened up and our actions require extra exertion of effort
and if we need to set aside our feelings and preconceptions in order
to succeed, then so be it.
When the job calls for a new level of professionalism
then the TCO System is a tool you can use to help you and your team
weather this storm. More focus, more effort, increased performance and
a greater return for those efforts are what you can expect.
The TCO System empowers management to plan their
work, assign responsibility and expect results. The TCO System enables
the manager to oversee what is being done and keep the team(s) focused
without interfering or disturbing those things that are going well but
catching and stopping those things that are taking away from what has
to be done.
Being tough on wasted effort and time is something
the TCO System really does well.

members don’t know what they need to do then management must take
the lead and get everyone on task. Management need to make the hard
decisions. Decisions based on comprehensive and accurate information
they have at hand and then do what needs to be done.
The advantages that come with the TCO System make
it possible for management to monitor the vital signs of progress, control
and efficiency of a project or program. Managers can easily determine
the weak spots and the strong spots and adjust the team and work accordingly.

time and this will help management prevent a crisis rather than react
to one.

where extra attention is required and apply that attention. Managers
can identify the weak links and shore those up or make even harder decisions
in order to save the boat and the rest of the crew.
